PREREQUISITES AND CONDITIONS FOR A SUCCESSFUL IMPLEMENTATION
The professional expertise of the project team members delegated by the parties involved in the project, along with the energy they invested in the project, made it possible to complete the project tasks by the planned deadlines, thereby ensuring the project’s success.
RESULTS AND EXPERIENCES
To date, there have been two online cafeteria enrollment periods at our company. The first was in October 2020, and the second was in early 2021.
Our experience was that, even during the first enrollment period, employees responded positively to the new process and interface. To facilitate the rollout, we created a user guide, trained the regional assistants, and scheduled sessions during which we could provide in-person assistance to employees.
By the second enrollment period, we noticed that we were receiving fewer and fewer questions, as employees had become more proficient in using the platform. The participation rate was around 90%. For those who did not submit their preferences, the previously announced default values were applied to their Cafeteria plans; therefore, it is possible that some employees from the missing 10% did not submit their preferences for this reason.

Recording changes to data, viewing leave information, the next step is to make the admin interface available to managers, and then to introduce leave approval.
INCREASING EFFICIENCY WITH PIRAMIS™
The increase in efficiency was immediately apparent in that we no longer had to schedule in-person appointments for Cafeteria declarations, only for in-person assistance (which resulted in approximately a 50% savings in working hours), and there was no need to manually enter paper-based declarations into the Piramis system; instead, they could be approved after a single review, reducing the potential for errors and speeding up the workflow.
