PURPOSE OF THE IMPLEMENTATION

The purpose of the implementation was to master the operation of the Payroll and Labor Management subsystem of the PIRAMIS™ Integrated Human Resources Expert System and to replace the old payroll system with a modern solution. A key requirement for company management was that the system provide information to support new decision-making, enable the modeling of certain human resources and financial issues, and facilitate the analysis of various decision options.

ABOUT THE COMPANY

KÜHNE Agricultural Machinery Factory, a privately held joint-stock company and Hungary’s only large-scale seed drill manufacturer, was founded in 1856 by Wilhelm Henrik Pabst and Frigyes Krauss. The manufacturing plant they established was developed by Ede Kühne into the industry’s best-known factory. The company, which has been privately owned since 1997, is guided by a strategy of continuous innovation, impeccable quality, and customer-oriented sales.

Our product range includes medium- and deep-tillage cultivators, plows with reversible and swivel blades, heavy-duty cultivators, heavy-disc harrows, compactors, precision seeders, and grain seeders. Since 1999, the self-supporting body frames and various built-in components for CREDO buses have been manufactured at our facility.

We guarantee the quality of our products by complying with the requirements of the MSZ EN ISO 9001:2001 standard.

We have at our disposal the full range of manufacturing facilities necessary for the production of the products within our scope of operations. We sell our agricultural machinery and spare parts both domestically and internationally through our resellers and sales representatives. Our customer-oriented sales policy enables us to meet our customers’ needs for finished machinery and spare parts at any time of the year.

PREREQUISITES AND CONDITIONS FOR SUCCESSFUL IMPLEMENTATION

The implementation of a modern human resources and payroll system represents a significant change in the life of an organization, especially when we consider that it not only involves replacing a familiar system or well-established manual methods and procedures with something new and unfamiliar, but is also very often accompanied by minor changes to operational processes and, in some cases, even to the organizational structure.

The introduction of changes always triggers some degree of resistance, the main causes of which are uncertainty and fear of the unknown. From the very first encounter with the software—and with even greater emphasis during the various phases of implementation—the service provider made it clear to the company’s employees that the selected software would truly resolve the issues caused by the outdated human resources management system they had experienced firsthand. As a result, employees successfully identified with the change because the new software led to satisfaction and aligned with their own interests and values.

In order to successfully complete the project, both parties had to allocate an equal amount of resources to carry out the project tasks. It wasn’t enough to rely solely on the service provider’s full support and professional expertise; we also had to devote our full attention to the project work. Practicing the user skills we acquired during the training sessions gave us the necessary experience to perform the manual migration. Processing the data at the appropriate level and quality served as the foundation for a successful live payroll run.

RESULTS AND EXPERIENCES

A good system is easy to work with. However, for the system to function properly, we had to master the program logic and learn how the various system and module components interact. The software requires a different, more thoughtful approach to work; it’s not enough to simply follow routine procedures.

Once we’ve mastered these requirements, however, it does make our work significantly easier. That said, we still need to gain more experience over the coming months before we can say we’ve acquired sufficient proficiency in applying the program logic.

SPECIFIC REQUIREMENTS

Based on the requirements identified during the needs assessment, L-SOFT’s consultants provided proposed solutions, and the configuration option that best met our company’s needs was selected from among the alternatives. For example, the following accounting solutions had to be configured in the system:

- special accounting for allowances for vocational trainees,
- accounting for absences based on average earnings,
- employer-side processing of 2008 personal income tax (SZJA) using the new program,
- preparation of the 2008 NYENYI report using the new program.

Following the successful implementation, one of the tasks planned for 2009 is to assess the need to integrate the payroll processing with the general ledger.

INCREASING EFFICIENCY WITH PIRAMIS™

The program’s automation features and workflow support have reduced the time required to complete tasks. During payroll preparation, various data import options help employees work faster and with even greater accuracy. With the new program, we can reduce the amount of manual data entry and processing, thereby minimizing the potential for errors.
